Services

Out front, your website. In the back office, AI & Automation.

Your website serves your clients and receives their enquiries and bookings. Behind it, AI works through the daily paperwork. IT Services maintain the devices, accounts and backups on which both depend. Each service can be engaged separately or together.

  • Website design and development

Each page is organised around your business. Clients understand what you do first, then find where to enquire or book.

    • English and Chinese copy written separately, never machine translated
    • Equally clear on a phone or a desktop, with basic SEO in place
    • An optional website AI assistant, which answers common questions from the material you provide and passes anything else to you with the visitor's contact details
    • The website AI assistant is currently being validated on this site. Installation on client sites must wait until validation is complete.
  • AI & Automation

AI reads invoices into tables, extracts the key points of contracts, and drafts email and reports. You check each one.

    • We first study your records and current workflow to decide which work is worth giving to AI
    • Rules and approval points are set out in the proposal, and the work is built on your existing software where possible
    • Delivery includes the tools, the written rules and training in their use
  • IT Services · The foundation

Office IT, set up and maintained

Computers, network, NAS and cloud accounts are set up properly from the start. File access, backups and AI workflows all depend on this layer. Ongoing maintenance can be arranged separately.

AI & Automation

We know the paperwork.
We have handled it.

AI & Automation means putting AI to work on everyday tasks. AI reads, sorts and drafts. People approve and send.

AI & Automation is delivered in five stages, each with a defined output and approval point. See the five stages →

We have worked in IT and accounting in Melbourne for many years, and taken part in property development and building projects. Invoices, contracts, reports and correspondence often take up much of an owner's time.

Our AI & Automation work therefore starts with the few kinds of paperwork that cross your desk each day.

Everyday paperwork, with AI taking the first pass

  • Supplier invoices, entered one at a time

AI reads the amount, ABN and date of each invoice into a table, and lists separately anything missing or in doubt.

  • Contracts running to dozens of pages, checked clause by clause

AI extracts the key clauses and dates, compares two versions side by side and marks each difference for your initial review.

  • A crowded inbox, with what matters hard to find

AI sorts and summarises your email, and drafts replies. You decide whether each one is sent.

  • Monthly figures held in several places

AI compiles them into a draft report and notes the source of each figure, so every number can be checked.

  • Due dates kept only in memory

Due dates for BAS, insurance, licences and leases are kept in one register, with reminders issued in advance as agreed.

  • Documents translated back and forth between English and Chinese

English correspondence is summarised in Chinese, and Chinese notes are drafted in English, for you or your adviser to review and approve.

How far this goes depends on the quality of your records and the software you use. We examine a few real samples first, then tell you plainly whether it is worth doing.

AI & Automation: four principles

  1. AI drafts. You decide.

Final figures, outgoing messages and payments must be approved by you or a staff member you nominate. Lodgements are made by you or your registered agent, never by AI.

  2. Built within your own accounts

Where possible, we use the software, inbox and spreadsheets you already have. If a new tool is needed, we assess it first and write it into the proposal.

  3. Start with the most time-consuming task

During the pilot, every figure and date AI reads is checked against the original, and every draft against your requirements. Only when it meets your standard do we move to the next task.

  4. Every step on record

Each item can be traced to its source. Anything AI cannot determine is listed separately for a person to decide.

Real projects

One website, one workflow,
both in use today.

The first is a company website, now live. The second is an internal tool running on a practice's own network. Each figure below is taken from records and shows the date it was counted.

Tax Agent ASIC Fee Management

An internal tool built for a Melbourne tax agent practice. It syncs ASIC notices, identifies each company's stage, calculates its due date and drafts the fee reminder.

The whole process runs itself. People review, then send.

  • 142

companies tracked by stage this cycle

  • 6,658

emails synced and searchable by company

  • 194

    tests run before every release

As at 18 October 2026. VJO is not a tax agent and does not lodge or pay anything with ASIC on anyone's behalf.

About VJO

A small team.
Only the work you will use.

VJO Studio is based in Melbourne and works with businesses across Australia. We design websites and apply AI, but only where it genuinely saves time. We also set up and maintain office computers, networks and backups.

Where your existing software will serve, we do not build a new system, nor add tools you will not use. Everything is handed over with documentation and training, so later changes need not depend on us.

How we work

From first conversation to handover,
every step in writing.

Five stages, each with a defined output. Timing depends on scope and content. A website usually launches within a few weeks, and adding the AI assistant is timed separately. AI & Automation and IT projects are assessed on their scope.

  1. Consultation and diagnosis
  2. Written proposal
  3. One piece of work first
  4. Launch and handover
  5. Monthly care (optional)
  • First consultation free

After our first conversation, we provide a one-page written recommendation: what to do first, and whether it is worth doing. It is yours whether or not we proceed together.

  • Written proposal

The proposal sets out the scope, timing and price, and each point that requires your approval.

  • Your accounts and domain stay in your name, and the source files are yours.

    • The domain is registered in your account
    • The hosting account is in your name. By default the site has no content editor, and we make changes on your behalf
    • We never handle your passwords. You grant the access
    • When the work ends, your records and source files are handed over in full, and any access no longer needed is removed

Plans and quotes

Monthly care is available after handover.

Four monthly plans, all optional. Each can be cancelled, with the notice period set out in the proposal. How cancellation works →

FAQ

Questions
we are often asked.

How long does a website take?

A standard website project takes 2 to 4 weeks, depending on scope and content. More pages, more features or late content extend that. If you add the website AI assistant, the time to prepare and test its material is assessed separately.

Is AI & Automation the same as the AI assistant on my website?

No. The website AI assistant is a feature of your website. It answers visitors' common questions from the material you provide and records enquiries. AI & Automation works behind the scenes on everyday tasks, such as reading invoices, summarising contracts, sorting email, compiling reports and reminding you of due dates. You may choose either, or both. The difference in detail →

I already have a website. Can you look at it first?

Yes. Include the address with your enquiry. We review the site first, then explain at our first conversation what is most worth improving, and whether a refresh or a rebuild suits you better. Whether to proceed is your decision.

Do you only work with Melbourne businesses?

No. We work with businesses anywhere in Australia. We are based in Melbourne and work mainly by video call, delivering websites and tools online. Melbourne clients are welcome to meet in person. IT Services are provided on site in Melbourne, project by project, and remotely in other cities.

Will AI send emails or make payments on its own?

No. AI reads, sorts and drafts. Sending email, making payments and anything else that cannot be undone happens only after you, or a staff member you nominate, approve it. Lodgements are confirmed and submitted by you or your registered agent, never by us. The proposal sets out in advance which steps need approval. See the approval requirements →
